Download your Rollover Spreadsheet

There are two ways to complete your spreadsheet for the new year:

Option 1 – Download your spreadsheet

  • Sign into your school’s Administration Console
  • Select ‘Rollover’ from the menu on the left hand side
  • Download your previous year’s school roll, you can choose to include or exclude unassigned students

Option 2 – Use your school database

You’re welcome to use your own school database for Rollover, you’ll simply need to update the formatting to ensure it matches with our system.

  • Download a blank student upload template.
  • One column at a time, copy and paste the data from your school database into the spreadsheet template.
  • Please take extra care to make sure that names are entered the same way as they’re currently listed in Mathletics – otherwise new student accounts will be created
  • Save your updated spreadsheet to your computer as an .xlsx file.
  • Head to ‘Upload File’ (you won’t need to complete ‘Update student & teacher details’)

Update student & teacher details

NOTE: To retain student usernames and data, do not alter existing student names. 

  • Download your current school roll and update the spreadsheets to reflect your new school list.
  • Do not delete any columns on the spreadsheet.
  • Do not change the spelling of a student name in the download as that will create a new student record/login. You can alter a student name later.
  • Update year groups, classes and teacher information as required.
  • If a student is no longer attending your school, delete the entire row.
  • Save your updated spreadsheet to your computer as an .xlsx file.
  • Please note:
    • Students with identical names must be identified with a unique character eg. John B Smith or John Smith1.
    • During the Rollover process, a student can only be in one class. After Rollover, Teachers may copy students into other classes based on ability.
    • Teachers can share a class. Simply ensure that each Teacher appears on the spreadsheet next to the shared class at least once.
    • To retain student usernames and data, do not alter existing student names. Corrections can be made in the Administration Console after Rollover.

Upload your updated spreadsheet

  • When you have your updated spreadsheet ready to process click ‘Next’
  • Select your rollover type; Partial Rollover or Full Rollover and click ‘Next’. Each option will be explained on-screen, however we strongly recommend completing a Full Rollover
  • Click the ‘Upload file’ button and select your updated spreadsheet. Your data will appear on-screen, select ‘Confirm’
  • If there are any errors your file, the system will tell you what the errors are and which row to find them in
  • To download sign-in cards for new and updated students, click the ‘View Summary’ button. You can either download sign-in cards or export your student list as an excel file.

How to Rollover

Important! Rollover has changed.
If you have both Reading Eggs and Mathseeds, you need to complete your Reading Eggs rollover first.

We’ve made a few changes to the way you rollover in Reading Eggs and Mathseeds this year.

We’ll take you through it step by step. To get started you’ll need:

  1. The names and unique email addresses of any new teachers; and
  2. Student list with their allocated classes for the new school year

Once you start Rollover your teachers will be locked out of Class Management, so make sure this is a good time.

Reading Eggs Rollover Steps:

  1. Login to your Reading Eggs Admin account
  2. Navigate to  > Management > Manage Rollover
  3. Click Start Rollover

First let’s update our teacher and student lists for the new school year.

Step 1 Teachers
  • If you have any NEW teachers, add them by clicking Go to Manage Teachers so they’re in the system, and ready for export. Don’t worry, you’ll be able to delete teachers later if need be.
  • Click Continue Rollover
Step 2 Students and Classes
  • Export the student list directly form Reading Eggs account and open the file (it will download as a CSV file)
    *Be sure not to delete or edit the header row as it’s required for a successful upload!
  • Select all, then sort by Year to organise the students into year level  and remove the students who have left the school.
  • Adjust the grade level for all students by increasing it by one.
    For example, Kindergarten or Reception students will move to year 1.
  • Add your new kindergarten or reception students, and any other students who are new to the school. Your new students won’t have a student ID yet, but don’t worry – we’ll get there!
  • Add the teacher email address for each class in column E.  Make sure you use each teacher’s unique email address, as the emails are what determines classes
  • Next, go back into Rollover and click Upload CSV
  • Check the Pre-Import Summary and if it’s looking good, simply click Complete Import.
  • If the import was successful you’ll see this pop up, and we can move to the next step by clicking Next
Step 3 Delete Old Classes
  • You’ll see a list of all of classes from the last academic year.
  • If you’re performing this rollover to start the new academic year, you’ll need to delete all old classes to make way for this year’s classes. Simply Select All and delete classes, then click Next.
Step 4 Delete Students
  • Next step is to check and delete any unallocated students.

IMPORTANT – If you have a Mathseeds License, you can’t delete students who had a Mathseeds class until you complete a Mathseeds rollover. That’s up next.

Mathseeds Rollover – ONLY if you also have Reading Eggs

IMPORTANT – You must complete your Reading Eggs Rollover BEFORE starting your Mathseeds Rollover. Once you get started your teachers will be locked out of Class Management

  1. Login to your Mathseeds Admin account
  2. Navigate to  > Management > Manage Rollover
  3. Click Start Rollover

Step 1 Teachers
  • Your teacher list should be up-to-date from your Reading Eggs rollover, but if you added any new teachers during your Reading Eggs rollover you’ll need to add them to Mathseeds too. This time just click Add existing teachers and select the teacher which will already be in the system.
  • Click Continue Rollover
Step 2 Students and Classes
  • Download the Mathseeds student list. This will have all your updated student information, including student IDs. You can now choose to:
    1. Simply add your teacher email addresses to the new Mathseeds student list in column E (like you did for Reading Eggs); or alternatively
    2. Copy & paste details for new students across to your Reading Eggs spreadsheet (which already has your teachers set up). This might be the quicker option for larger schools.
  • Upload the CSV and click Complete Import
Step 3 Delete Students
  • Next step is to check and delete any unallocated students.
  • When you’re finished, click Continue Rollover
  • Back on the rollover screen, click Next
  • Then Complete Rollover and you’re done!

Mathseeds Rollover – ONLY if you DO NOT have Reading Eggs

Important Before you get started, if you’re also a Reading Eggs customer, you will need to complete your Reading Eggs rollover before you can complete this Mathseeds rollover.

To get started you’ll need:

  1. The names and unique email addresses of any new teachers; and
  2. Your student list with their allocated classes for the new school year

Once you start Rollover your teachers will be locked out of Class Management, so make sure this is a this is a good time.
Mathseeds Rollover Steps:

  1. Login to your Mathseeds Admin account
  2. Navigate to  > Management > Manage Rollover
  3. Click Start Rollover

Clever

(US/Canada customers only)

For non-Clever schools/districts the start of a new school year requires the subscription coordinator at each school to use the Manage Rollover function in Mathseeds to increment student grades and move students out of their current classes.

For Clever schools/districts all teachers and student data changes are made within Clever and thus the Manage Rollover function is not available to subscription coordinators.

Prior to the commencement of the new school year Clever districts should:

  • Ensure the schools in the district have current subscriptions with sufficient capacity for the number of students who will be using Mathseeds at the school in the new school year. Talk to your Mathseeds support team to organise your subscriptions.
  • For any new schools in the district ask your Mathseeds support team to create a new school account in Mathseeds.
  • Ensure teacher, student and class/section data is up-to-date in Clever and that all the required data is available to be shared with Mathseeds.
  • To align the district data in Mathseeds with the data in Clever:
    • Use the Reset function to download the latest Clever data into Mathseeds.
    • Complete all new school, teacher and student matches for each school in the district – all previously matched teacher and student records will match automatically.
    • Use the Sync Schools function to sync the Clever and Admin data for the district.
    • Note: For Districts using both Mathseeds and Reading Eggs the Reset/Match/Sync process should be performed for each product but for only one product at a time. The process must be completed for one product before it can be started for the other product. This can be achieved by coordination between your Mathseeds and Reading Eggs support teams.

This step is not mandatory but is recommended by Clever to ensure the best chance for a smooth data transition into the new school year. Any problems reported to Clever will require that the district is reset, matched & synced before they are investigated further.

Removing old students

Note: Rollover can only be actioned from your school’s WordFlyers Subscription Coordinator’s account.

  1. Go to My School and select Students.
  2. Use the search bar to find the students you wish to remove and tick the checkbox beside their name to select them.
  3. Select Delete to remove these students.

Updating existing teachers

  1. Go to My School and select Rollover.
  2. Select Download existing students to download your school’s existing WordFlyers students. Save this .csv file to your computer.
  3. Open the file and populate the empty columns (J, K, L, M) for students who will be using WordFlyers in the new school year. Save the file.

Adding new students

Note: These can be Year 7 students or any student not already in WordFlyers.

  1. In your Rollover area, select Download new student template. Save this .csv file to your computer.
  2. Open the file and populate the columns (A – G) with each new student’s details. Save the file.

Activating Rollover

  1. Go back to the Rollover area under My School on your Subscription Coordinator Dashboard.
  2. Upload your current student list and new student list and select Submit.

You will receive an email from the WordFlyers team once your school’s rollover has been completed.

Mathletics FAQs

Yes! We encourage schools to complete your own Rollover as soon as possible. The process itself is relatively quick and there are no delays in getting up and running for the academic year.

No, to ensure a quick and successful Rollover please complete a whole school Rollover. Contact your Account Manager if you require some of your year groups to be updated but not all. Any students that are missing will be in the ‘unassigned’ area.

No, names must remain unchanged for an accurate match allowing students to retain results and usernames. Where names are changed new student accounts will be created. Corrections and changes can be made in the Admin Console after Rollover.

Students with the same name need a unique character to differentiate them eg, John Smith1 or John B Smith.

Yes, but only after Rollover. A student can be copied to appear in two or more classes from within the Teacher Console.

Yes, Teachers can share a class. Simply ensure that each Teacher appears on the spreadsheet beside their class at least once.

Throughout the year we will communicate important information around training options, product releases and major events.

The spreadsheets are prepared in Excel 2007 which is a Windows product. Mac users require Office for Mac 2008 or higher. Please contact us if you are having difficulty opening or saving your spreadsheet.

The deadline is September 30th, 2021, however the sooner you complete your rollover, the sooner your students and teachers will be able to access their new classes.

All student data has been archived for Mathletics. Before you complete your rollover, you may decide to ‘Extend Results’, to keep gold bars and results from last year. This does not affect students’ certificates, points, avatar, Live Mathletics statistics and credits, provided the existing students’ names have not been changed Eg, Sam to Samantha.
In order to retrieve data from last year, go to your Admin Console and click on ‘Extend Results’ in the rollover tab.

Yes, in fact we encourage you to monitor student enrolment. Add new students via the ‘School Roll’ in the Administration Console.

Yes, after rollover you can transfer a student’s Mathletics and Readiwriter Spelling account from their previous school. To transfer via the Administration Console you will require the student username and an exact name match to be successful. This will transfer their avatar, credit points and username.

Your students may have received a new username. Check student details in the School Roll including ‘Unassigned Students’. You can reinstate the original username here and delete the new one so your student numbers don’t exceed your cap.
